Hello All!
I've been asked to head up an aid station at the Burning River 100 mile race again this year.
This year we will be at the Boston Store Aid station which serves as two aid stations since runners come through it twice (If course remains the same as last year they come through at mile 51.7 and mile 56.5). This means we'll likely need more volunteers than we did last year at mile 91.3 as we will be busy and it will be confusing with runners coming through twice! Likely our aid station will be open from Noon to 11 PM on Saturday the 2nd of August. My intent is to have a minimum of 7 volunteers at all times and ideally would like to have 10-12. Since it is such a long day I am hoping to have 3 shifts of 3.5 hours with the last shift being closer to 4 with tear down. I will be there all day to coordinate and be the direct line of communication to the race director and supply trucks.
We had a great aid station last year with awesome volunteers! I hope this year is even better!
Below if a description of work aid station volunteers will do and a tentative time schedule. Please let me know if you are available to help and if you have a preference on time slot or specific volunteer duties! You can email me at: elizabeth dot anne dot hansen at gmail dot com
Thanks!
Elizabeth
Boston Store Tentative Time Slots:
Slot 1: Noon- 3:30pm (Includes set up, 1st runner should come through between 12:30 and 1)
Slot 2: 3:30 PM-7:00 PM
Slot 3: 7:00 PM-11:00 PM (Includes tear down, last runner should be through by 10 pm)
Aid station set-up and tear- down - everyone
Scoring Runners - 1-2 people - You will log in each runner on a sheet provided by the race by their bib number and enter the real time of day (not a race time). If more than one runner enters at the same time, do not worry who you list first, just be sure to list each runner number as its own line item. Cross off runners by name on a master list so we can keep track of who did not come through. We will probably set you up a little ways out from the aid station so we can score the runners before they actually start working their way through the aid station. Runners will come to our station two times during the race so if possible we will want to set up two people to log so that we don't get runners mileage confused.
Greet oncoming runners, fill water bottles, get aid - 2-3 people - The race will be providing a wide variety of food that the runners can just help themselves to as well as water, Gatorade and Heed for them to drink. The runners might hand you their water bottle or camelback to fill as they eat or get supplies from their drop bags - so please fill with the carrier as requested (it could be a lot like Starbucks where they request a combination drink!)
Drop bag handler (organize & retrieve for runners) - 1-2 people - This sounds easier than it is. First arrange drop bags numerically on a large tarp marking sure bib numbers are large and visible on the bag. (You will also be provided with a master list of runner name by bib so you can number any bags that do not have the bib # already on them.) No one other than the volunteers are allowed to retrieve a bag so you will also act as security. You must retrieve the bag matching the runner's bib number, assist with opening if necessary, and then close and set in a separate (which can be disorderly) pile for the race crew to pickup at the aid station tear-down. Folks will want their bags back so we need to close them up tight and make sure they are still marked well (again by runner ID).
Prepare food and maintain food supply (make sandwiches/cut fruit/mix powered drinks/refill soup) - 2-3 people at set up, 1-2 to maintain- Pretty straight forward. We just want to keep waste at a minimum. Alert captain of any shortages (including ice) before they happen so we can get race crew there on time.
General assistance/volunteer relief - 1-2 people - Duties as assigned!! Will include relieving volunteers so they can get a break to eat and/or use the restroom. Initially you will help with food prep and then runner assistance. Will help with trash control as well.
